General Internship guidelines

Each department may set up ground rules for students wishing to commence internships however, the following guidelines apply:

Ø Make sure the specific credits assigned for the internship program.

Ø Make sure the seminar for pre-internship training.

Ø An Intent to Perform Internship form must be completed for each intern and each internship

Ø Specify the Internship credit limit i.e., maximum credits per internship and total credits given in that particular semester, etc., and also how many internships student may undertake.

Ø Internship documents and registration are completed through the relevant authority concerned and faculty guide approval.

Ø Internship course syllabus (including assignments) is developed jointly by academic departments and the faculty guides who have a keen eye on the dynamic corporate requirements.

Ø Syllabus assignments are received, stored and evaluated by the respective department who evaluates and decides the final grades.

As a faculty guide one has to manage the following activities for successful implementation of the internship:

Before the Internship:

Ø Maintain names and contact information for past and prospective internship employers to have a future resource for providing internship network.

Ø Meet with different level of interest holders ( local, regional, and national employers) for internship development and improvise on the program on the basis of their recommendations.

Ø Verify all Internship Learning Contracts for accuracy and completeness and submit registration paperwork for each intern to the Registrar.

Ø Evaluate interns and the internship program through work with Company, Company guide, Faculty guide and student feedback.

During the Internship:

Ø Utilize a periodic reporting mechanism to track hours worked.

Ø Monitor internships via communication with site supervisors and interns.

Ø Evaluate syllabi assignments to monitor progress toward meeting learning objectives.

Ø Intervene as needed with interns or intern employers to mediate problems that may arise

After the Internship:

Ø Evaluate the intern and the internship employer

Ø Ensure all required assignments have been completed and received on time; submit intermediate and final grades (pass/fail)

Ø Maintain the database on the information related to current and former interns and internship placements in electronic and paper files (including all administrative and academic paperwork - by major and employer).

To ensure academic viability and appropriateness, faculty advisors will:

Ø Meet with students to discuss prospective internships and to help complete the inclination to Internship form prior to the semester deadline.

Ø Discuss appropriateness of prospective internships to the student's major by review of job description and (if needed) through communication with site supervisors regarding learning objectives and goals.

Ø Approve learning objectives that have been developed by the student and described in the Internship Learning agreement and assist students with achievement of the agreement prior to the semester deadline.

To ensure corporate viability and appropriateness, faculty guide will:

Ø Send the required documents/ reports required by the company guide.

Ø Send the thank you letters to the company guides and highlight the cooperation by the organization and the company guide in making the successful realization of the learning objectives.

Ø Request for the commitment for job offers for successful interns.

Ø Communicate the smooth execution of reward that is promised by the company to the eligible candidates.

Ø Requesting for feedback and commitment for future interns.

Guidelines to Student Intern:

Ø The internship is designed to provide students with a guided beginning to the trained working world. Students must meet the following requirements to successfully participate in an internship experience:

Before the Internship

Ø Discuss with the faculty advisers to plan the timing of their internship, to make sure all departmental requirements are met and to develop learning objectives and goals.

Ø Obtain an Internship Learning agreement upon submission of the inclination to Internship form; return completed Internship Learning agreement within the time frame.

During the Internship

Ø Complete all written assignments as nominated by the internship syllabus and the Internship Learning agreement.

Ø Make sure the faculty guide Provides the internship company guide with the forms for the weekly evaluation, midterm evaluation and final evaluation prior to the due dates for these evaluations (these should be completed and submitted by the company guide directly to the academic institution to which the student belongs).

Ø Complete an internship site evaluation form and return it to the educational institute at least one week prior to the start of final evaluation of the intern.

After the Internship

Ø Submit all required reports not later than one week prior to the beginning of classes.

Ø Make sure the faculty guide send the company guide a thank you letter and mark a copy of the letter to the educational institute.
