• What are our strengths and weaknesses?
• What do I want to achieve? Set clear, realistic objectives.
• What are customers looking for? What are their needs?
• Which customers are the most profitable?
• How will I target the right potential customers? Are there groups that I can target more effectively?
• What's the best way of communicating with them?
• Could I improve my customer service? This can be a low-cost way of gaining a competitive advantage over rivals, keeping customers, boosting sales and building a good reputation.
• Could changing my products or services increase sales and profitability? Most products need to be continuously updated to maintain competitiveness.
• Could extending my product list or service provision meet existing customers' needs more effectively? Remember that selling more to existing customers is generally more cost effective than continually trying to find new ones.
• How will I price my product or service? Although prices need to be competitive, most businesses find that trying to compete on price alone is a poor strategy. What else are my customers interested in? Quality? Reliability? Efficiency? Value for money?

• How can I tell if my marketing is effective? Check how your customers find out about your business. A small-scale trial can be a good way of testing a marketing strategy without committing to excessive costs.

3. Monitor and evaluate the progress of the outcome

Monitoring and evaluation is the most important part of an any project. It should work according to the plan that have implemented before start the project and should match with customer requirement and satisfaction. It will lead to identify outcome that it supposed to have. If it's not according to the customer expectation at this juncture need to adjust the plan and rearranging tasks and find the gaps between outcome and expectations.

The following methods expected to use as monitoring and evaluation of new operation of developing software project.

Focus groups

One of the most important methods is using focus groups. This is where representatives from different groups are brought together and asked to discuss the topic under the guidance of a moderator. The advantage of this is that it leads to an in-depth discussion of the topic with real people interacting with each other. It will generate a large amount of data that could be used to understand potential sources of conflict in the future. The greatest disadvantage of this is that it is very time consuming and expensive to conduct. In addition there is a chance that moderator may not be able to guide the group in the right direction due to his or her inability to control the group.

Regular meeting

There are those stake holders who has great power to influence the out come to the project, how ever they very little interest in the program itself. The important aspect of these stakeholders is to prevent them from becoming too interested in the project. So it is important to have regular meeting with them well in advance and to keep them informed on regular basis. It is important to reassure them regularly of the fact that they will not gain or lose anything if the changes are implemented.

Questionnaires

The advantage of this is that it could reach potentially a large group of individuals. However the main disadvantage is that it is not possible to go in to details on issues as the answers are limited by the type of questions on the questionnaire.

Once this group of stakeholders are assessed using above methods, the next step is to educating them about the change process. Any questions or concerns that were raised during the initial fact finding endeavours could be addressed during this time. There are various ways of informing relevant stake holders of the changes to come and the necessity of it. The organization could hold meetings with those affected. News letters and emails could be used to effectively and cheaply inform those affected by the change. It is important to inform them well in advance so that they could adapt to the changes gradually.

Seminars

It is an action of bringing together groups for meetings, focusing each time on some particular subject, in which everyone present is requested to actively participate. Normally, participants already knew something in the related field under discussion. The idea behind the seminar system is to familiarize employees more extensively with the methodology of their chosen subject and also to allow them to interact with examples of the practical problems that always crop up during research work. It is essentially a place where assigned readings are discussed, questions can be raised and debates can be conducted.
